Part Time Administrator (School Hours)

I'm delighted to be recruiting for my client to find an experienced administrator to provide ongoing support to a fantastic team. This is a part time position. Ideally 9am – 1pm across Monday – Friday, initially based at home with occasional work in the office. The ideal candidate needs to display strong computer and organisational skills and be able to effectively complete tasks to deadlines. Applicants for this post must have a knowledge of administration and Microsoft & Office programmes and have an ability to monitor and respond appropriately to day-to-day changes and situations arising within the office. The ideal candidate will have good organisational skills and experience of working as part of a team as well as having qualifications/training relevant to this area. The Office Coordinator and Administrator is responsible for: • Day to day running of the office including ensuring staff cover is in place, systems are running (phone, email etc) and processes followed. • Ensure the office is serviced, maintained and supplied as appropriate to the day to day needs and Health and Safety requirements. This includes being the responsible person for fire and health and safety. • Ensure that office agreements and services are monitored and negotiated as required. • Work with colleagues to ensure support of workers and external providers (such as trainers) is in place, as required. General Office Tasks General Administrative support for Office including but not limited to: • Answering office phone, message taking and call transferring. Recording calls on the database. • Opening, recording and scanning of post (recording on database and outgoing in post log). • Electronic filing and general office filing. • Maintaining and making full use of the recording and information systems ensuring relevant information is recorded promptly and appropriately • Accurate checks and reports are prepared and presented as required • Auditing of own and others work, when requested, to ensure compliance. • Full and appropriate use is made of the network and IT equipment • Assisting with preparation of documents and collating information, which will need to be recorded on the database • General administrative support of the training function. • Assisting in the organising of training and events, as required by the management group. • Any other tasks at the request of Line Manager or Directors.
