The Executive Assistant will be effective first line support for all incoming and outgoing queries, working closely with the Commercial Director to provide exceptional diary management, preparation for meetings and events and complete research on Clients, products and industry events.

This role covers a variety of duties. Some of which include:

To manage the Commercial Director’s time, diary and appointments
Take ownership and manage queries on behalf of the Director
Act as the “face” of the Commercial Director providing an efficient, approachable and professional level of service
Access and investigate all external correspondence, both post, and email, dealing with any queries first hand
Ensure the Director receives a summarised version of appropriate internal and external correspondence
Act with the utmost integrity, handling all information in a secure way and with absolute confidentiality
To collate, prioritize and edit all information and papers required for meetings
Research, prepare and approve all presentations for delivery by the Director for both internal and external stakeholders
To organize events and liaise with external visitors and promote the professional outlook of the company
Coordinate all travel, logistics and all materials needed for meetings
Supporting the Commercial teams with ad hoc and planned tasks
The Candidate

The ideal candidate will be ambitious, driven and keen to build upon their existing experience as an Executive Assistant.

Specifically, the ideal candidate would have:

Experience in a PA or team administrative role
Extensive MS Office or equivalent experience
Experience working under pressure to prioritize workload on behalf of a Director
Excellent team player supporting wider team members as appropriate
Able to demonstrate a flexible attitude and respond quickly to change
Ability to multi-task, manage multiple projects, identify key priorities and proactively deal with unexpected issues
Well-developed analytical and problem-solving skills
Strong reporting skills – candidates must be intermediate or above with Excel
A clean, valid driving license
