To complete our team, we are currently looking to recruit an: Receptionist/ Administrative Assistant (all genders welcome) JOB DESCRIPTION: Being part of the team occupying the reception desk in the entry hall during business hours  Serves visitors by greeting, welcoming, and directing them appropriately. Monitors visitor access Notifies company personnel of visitor arrival Performing various secretarial tasks (arranging files, emails) Performs administrative support tasks such as proofreading, transcribing handwritten information, composing and sending simple letters, memos and fax coversheets Receives, sorts and routes mail and deliveries Prepares mail shipments online and prepares outgoing mail Administrative works (filing, archiving) Manages incoming and outgoing post, including sorting, distributing and scanning post Manage meeting schedules, including having rooms ready Assisting other employees in the daily work Answers incoming telephone calls, determines purpose of call and forwards calls or messages to appropriate personnel or department Answers questions about organization and provides callers with addresses, directions and various other information as needed Keeps a current record of staff members’ whereabouts and availability. Enters/updates appointment calendar and contact information in shared database. Provides appointment reminders Keeps a safe and clean reception area by complying with procedures, rules, and regulations YOUR PROFILE: You have Bachelor’s Degree or a secretarial education/background. A first working experience would be considered an asset. You are fluent in English and French. Any additional language would be considered an asset.
